Adding Clients
BusyBook gives you three ways to build your client list: manual entry, CSV import, and automatic creation through the AI assistant.
Adding a Client Manually
Section titled “Adding a Client Manually”- Go to Clients > Client List in the sidebar
- Click Add Client
- Fill in the client details:
- First name and Last name (required)
- Email and Phone number
- Phone type (cell, home, or work)
- Source — How the client found you (walk-in, referral, Google, social media, online booking, phone call, website, or other)
- Birthday — For birthday promotions and personalization
- Address — Street, city, state, and zip code
- Referral source — If they were referred by an existing client, link the referral
- Notes — General notes about the client
- Medical notes and Primary concern — Health-relevant details for session planning
- Click Save
The client is immediately available for booking appointments and checkout at the register.
Quick Add from Other Pages
Section titled “Quick Add from Other Pages”You can also add clients directly from:
- The Calendar — When creating an appointment, click “Add New Client” in the client selector
- The Register — The client picker includes an option to create a new client on the spot
Importing Clients via CSV
Section titled “Importing Clients via CSV”If you’re migrating from another system or have a spreadsheet of clients:
- Go to Clients > Client List
- Click Import
- Upload your CSV file — Drag and drop or click to browse
- Map columns — BusyBook auto-detects common column names (Name, Email, Phone, etc.). Review the mapping and adjust any columns that weren’t matched automatically.
- Preview — Review the parsed data before importing. BusyBook validates each row and flags any issues (missing required fields, invalid emails, etc.)
- Import — Click to start the import. Progress is shown in real time.

Automatic Client Creation
Section titled “Automatic Client Creation”When the AI assistant books an appointment for a new caller or messager, it automatically creates a client record with the information collected during the conversation. The client appears in your client list with a source of “AI Assistant.”
